03 / STRUCTURE
Digital Building Records
A structured record makes existing information easier to locate, compare and update. The system can include drawings, photographs, notes, references and handover instructions.

Make information findable.
Renovation and property-management workflows often accumulate drawings from different dates and sources. A clear digital record separates current information from superseded material, records the origin of supplied files and gives each item an understandable name.
Useful structure may include a project index, location references, drawing registers, photographic records, measured information and an exceptions log. No particular software platform is required; the logic should remain understandable across ordinary file systems and agreed project tools.
Workflow
- Inventory the available drawings, photographs and notes.
- Agree naming conventions, status codes and revision rules.
- Separate source, working and issued information.
- Link records to locations, levels or drawing references.
- Prepare a handover index and future update instructions.
Important considerations
File organization only helps when responsibility is clear. Decide who owns updates, which records are authoritative and how superseded information is retained. Photographs need context, date information and location notes to be useful beyond the day of capture.
Typical outputs
- Digital folder and file structure.
- Drawing and document registers.
- Reference photographs with descriptive metadata.
- Existing-condition notes and unresolved-information logs.
- Handover guide for future updates.
Advantages and limitations
Consistent records reduce search time and support continuity between design stages. They do not make incomplete information complete, and they do not validate every drawing. A record system must expose gaps rather than hide them.
Quality-control considerations
Check duplicate filenames, revision status, broken references, location descriptions and file accessibility. Confirm that issue dates and superseded states are visible. Review whether a new user can understand the structure without verbal explanation.
Practical checklist
- Collect all available source information.
- Define the authoritative record for each category.
- Agree file names, folders and revision language.
- Record missing, conflicting or unverified data.
- Assign responsibility for future maintenance.
